What we collect

When you register

The parent or guardian’s name, email, phone number and billing address; the athlete’s name, date of birth, grade or age group, emergency contact, relevant medical notes, and sizes for uniforms or shirts.

When you pay

Order details and the last digits of your card. Full card numbers are handled by our payment processors, not stored by LVA.

When you contact us or apply

Your name, email and message. Coach applicants also share work history and references through our application form.

When you visit the website

Standard technical data such as browser type, device, pages visited and how you arrived, collected through cookies and similar tools.

How we use it

• Process registrations, payments and installments.
• Place athletes on teams and in programs, manage attendance and check-in, and keep athletes safe.
• Register athletes with USA Volleyball, the North Texas Region and tournaments, as club play requires.
• Send schedules, changes, reminders and receipts by email or text message.
• Send program news and offers, which you can opt out of at any time.
• Improve our website and programs, and meet legal, tax and accounting duties.

Who we share with

We do not sell or rent your personal information. We share only what is needed with:

• Payment processors and our online store and checkout tools.
• Our accounting, email, text messaging and registration services.
• USA Volleyball, the North Texas Region and tournament organizers, for athlete membership and event entry.
• Uniform suppliers, limited to names, numbers and sizes.
• Emergency medical personnel, if an athlete needs care.
• Authorities, when the law requires it.

Children’s information

Most of our athletes are under 18. Their information comes from a parent or guardian at registration and is used only to run LVA programs safely. We do not knowingly collect personal information directly from children under 13 online. If you believe a child has sent us information, email admin@lunavolleyballacademy.com and we will delete it.

Photos, video and team rosters

• We take photos and video at practices, tournaments and events for coaching, video analysis and LVA marketing, as described in our Participation Agreement.
• Public team rosters show only an athlete’s first name, last initial, jersey number and team.
• We never publish athletes’ birth dates, home addresses, schools, phone numbers or parent contact details.
• To opt your athlete out of promotional photos, or to remove a specific photo, email admin@lunavolleyballacademy.com.

Cookies, analytics and advertising

We use cookies, website analytics and advertising tools, including the Meta pixel, to understand how our site is used and to show our programs to families who may be interested. You can limit cookies in your browser settings and control ad personalization in your Facebook, Instagram and Google account settings.

Security and retention

We limit access to personal information to the staff who need it and use reputable service providers with their own security safeguards. No system is perfectly secure, so please contact us right away if you think your information was misused. We keep records while your athlete is active with LVA and as long as needed afterward for accounting, tax and legal reasons, then delete or anonymize them.

Your choices

• Marketing email: use the unsubscribe link in any message.
• Text messages: reply STOP to opt out of marketing texts.
• See, correct or delete: email admin@lunavolleyballacademy.com to review, update or delete the information we hold about you or your athlete. We may keep records we are required to keep by law.

Changes to this policy

We may update this policy. The date at the top shows the latest version, and important changes will be shared by email.
